Assistant Finance Manager

Position: Asst. Finance Manager

Job Summary:

As the Assistant Financial Manager at D&F Plumbing, your job is to help maintain the financial stability of the company and support office operations. The Assistant Financial Manager aids in protecting company assets by establishing, monitoring and enforcing internal financial controls, office protocol and practices.
In this important position, you’ll be expected to collaborate with the Financial Manager to evaluate and make appropriate improvements to internal processes. Responsibilities: Responsibilities include but are not limited to

  • Process private and proprietary information, such as payroll, while maintaining strict confidentiality and protecting from unauthorized disclosures
  • Manage and audit the work associated with accounts payables, accounts receivables, and payroll
  • Conduct payroll processing, including inputting employee time sheets and ensuring accuracy in unique changes and correct taxation
  • Oversee and collaborate with senior management on the activities of the various financial matters for the accurate and timely dissemination of financial reports including, but not limited to, internal and external monthly financial statements, annual audits and annual budgets
  • Make any necessary changes for compliance and external reporting for audits or certified payroll for prevailing wage jobs
  • Collaborate in the financial process; work with senior management to track budget, analyze financial data and recognize variances
  • Improve time card procedures and maintain accuracy while implementing job costing
  • Assume responsibility for quarterly reporting, federal deposits, and yearly W-2s
  • Consolidate inventory ordering with data entry and tracking to simplify processes and expenses
  • Correspond with general contractors for lien releases, payments, A/R collection calls, check postings and credit card payments
  • Support senior management with service invoices, contract invoices and AIA forms that are required with billing
  • Perform data entry of a high volume of invoices pertaining to G/L and job costing
  • Assist with internal office processes for project management, HR, accounting and field support for matters related to credit cards, invoices, phone interactions, data entry and paperwork
  • Track, accurately report and mail out monthly IAP reports
  • Create a system for monitoring and maintaining the licensing, registration and insurance of company vehicles
  • Systemize and keep employee lists current regarding distributed vehicles, keys, cell phones and fuel cards
  • Assist with and audit company credit card purchases and employee compliance and resolve issues with employee purchases or returns
  • Facilitate HR duties by establishing employment processing, compensation, health and dental benefits, workers’ compensation claims and 401K profit sharing
  • Organize and keep employee files accurate and up-to-date
  • Ensure employee files are in compliance with CCB, state, and federal laws
  • Assist in reporting for financials, union reports, quarterly payroll reports, financial statement reconciliations and outside audits
  • Direct the accounts receivable/accounts payable function ensuring the accurate and timely management of A/P data entry, vendor account reconciliations, job cost entry data, vendor payments, non-vendor payments, and 1099s
  • Create and maintain a systemized schedule to predict recurring and upcoming accounts payable
  • Generate and maintain a system for office inventory and ordering
  • Securely manage and store company passwords
  • Alleviate workload for miscellaneous office duties including answering phones, responding to emails, word processing of proposals, field support, project management, purchase of materials, licenses and compliance reports, and various duties for customers or vendors
  • Job entails sitting and/or standing for extended periods of time (up to 4 hours) and may require occasional physical lifting(up to 30 pounds)
  • Contribute to team effort by accomplishing and achieving results for other tasks or projects as assigned by supervisor

Skills & Qualifications:

  • Knowledge of all accounting functions and full cycle bookkeeping
  • Understanding of debits and credits
  • 5-8 years of general accounting experience, significant experience in accounts payable and payroll capacity preferred
  • Knowledge and experience of construction industry accounting
  • Construction Project Management experience is a plus
  • System experience in Sage 100 Contractor, Masterbuilder preferred
  • Extensive experience in spreadsheets, data processing and word processing
  • Ability to communicate company policies to non-managerial groups in person and in writing
  • Quick-learner and adaptable
  • Advanced office technology skills
  • College degree in accounting, finance or related discipline required
  • Strive to implement systems that benefit the team of employees and D & F Plumbing as a whole

Now seeking a qualified candidate for the position of a Parts Runner

Job Duties:

  • Deliver equipment/supplies/materials to job sites
  • Load and unload trucks
  • Keep shop organized
  • Have a valid driver’s license
  • Be familiar with the Portland/Vancouver area
  • Not scared to get dirty
  • Must have a valid driver’s license and social security card for an immediate interview.
